What breaks without custom infrastructure

Generic vacation rental platforms — Airbnb, VRBO, LodgeRunner — are built around nightly inventory. A dude ranch stay is 6–14 days minimum, often the full season (June–Sept). You need to:

What we build

Multi-week package pricing

Bundle lodging nights + meal plan + activity package into one line-item reservation. Price by package (e.g., "6-night Deluxe All-Inclusive") or let guests customize and build their own.

Deposit-based reservations

Collect your standard deposit (30–50%), mark the balance due-on-arrival or split into installments. Confirmation email confirms both amounts and gives guests a payment link for the balance.

Seasonal capacity & waitlist

Lock off weeks that are full, auto-close bookings, and maintain a qualified waitlist. When someone cancels, automatically send a "this week is now open — confirm by 5pm tomorrow" offer to the next person on the list.

Activity & group scheduling

Assign multi-day activities to guests, split into guide groups, and track conflicts. A guest books a 7-day stay; they auto-populate the fishing schedule for Tues–Thurs, the cattle drive Wed–Fri, etc.

Guest & dietary tracking

Capture headcount per night, dietary restrictions, riding ability, fishing experience, waiver docs — everything kitchen and staff need at a glance, organized by arrival date.

Cancellation & rescheduling rules

Set your own policies: 60 days out = full refund, 30 days out = keep deposit, 7 days out = no refund. Guests can request reschedule dates; you approve or deny, and deposit applies to the new date.

Integrated invoice & receipt

Auto-generate invoices from the reservation (deposit + balance), sync to your POS or email, and print receipts for arrival check-in. No manual invoice-per-booking.

Booking dashboard

Visual calendar showing occupancy week-by-week, revenue by package, cancellations, and waitlist queue. One-click to see all guests arriving in a date range, their activities, and special requests.

How it runs

Guests visit your booking page, select their dates and package (or build their own). They enter names, dietary info, waivers, and pay the deposit via Stripe. You get an email confirmation + a dashboard entry; they get a confirmation with balance-due date and a link to the guest portal where they can see their itinerary, pay the rest, or reschedule.

Your staff uses the admin dashboard to assign activities, split groups, print meal counts for the kitchen, and flag special requests (vegan, first-time rider, etc.). When a cancellation comes in, you approve it, the deposit logic runs automatically, and if there's a waitlist, the top person gets the offer within minutes.

No spreadsheets, no email chains, no "I thought they paid" moments. It's as tight as a booking system can be for week-long, bundled-activity stays.

Pricing & timeline

This is not off-the-shelf. Every ranch runs differently — different peak seasons, different activity combinations, different refund policies. We scope the build, quote a flat retainer tier (Custom Portal ($350/mo) or Full Operations App ($750/mo)), and build to your exact spec. First 4–6 weeks covers launch with your current season; ongoing retainer handles updates and peak-season support.

Most dude ranches fall into the Custom Portal tier ($350/mo from) — full reservation engine, activity scheduling, payment tracking, and basic reporting. If you're managing multiple locations or want a more complex inventory system, Full Operations App ($750/mo from) adds multi-site management and deeper integrations.
