Booking software for Wyoming hunting and fishing seasons, not generic guide platforms.
LodgeRunner, MallardBay, and HuntPay take a per-booking cut and assume your season fits their template. A Wyoming outfitter's draw dates, tag verification, weather rescheduling, and guide roster don't fit that model. We build the system your trips need, flat fee, no slice of your revenue.
What a national SaaS doesn't handle
Standard guide-booking platforms are built for one-off appointments: a 3-hour ski lesson, a single kayak trip, a day hike. They're not built for Wyoming's seasonal constraints and revenue cycles. You don't get an elk hunt until the draw posts in July. Your deer tags run September through November. Fishing licenses reset on a federal timeline. Weather cancels a trip on Tuesday; the client wants Monday of next week, but your lead guide is already booked, two clients want to tag that same slot, and you need to check if the rescheduled date hits a weather window or a wilderness closure.
National platforms charge per booking or per guide to scale their own risk. That works if you run 80 trips a month. It bleeds money if you run 12 and the platform keeps taking 3–5% of each one.
Hard-coded seasons don't match your calendar
You set your hunt dates around draw results and license windows. Platforms give you generic date-pickers. You end up managing conflicts in email or spreadsheets anyway.
No tag or license verification
A client books, then never shows because their tag didn't clear. You've lost the trip revenue and still paid the national platform. We build in license check and tag verification before confirmation.
Rescheduling takes hours
A storm hits. Fifteen clients text, wanting new dates. A platform's drag-and-drop can't handle "move this hunt to a window with weather below 20 mph, a guide with 5+ years elk experience, and no existing bookings." You're back on the phone.
Per-booking fees add up fast
12 elk hunts at $3,200 each, platform takes 3.5%, is $1,344 a year to a company that doesn't know your roster or your region. That's money you could put back into guide pay or marketing.
What we build instead
Season calendar, your way
Set your hunt windows by draw date, license open/close, or manual override. Block guide time, not just "bookable slots." System knows which dates are live and which aren't.
Tag and license verification
Clients enter their license number at signup. We pull the state records (Wyoming Parks & Wildlife integration). Hunt doesn't confirm until the tag is live. No-shows from license snafus drop to near zero.
Guide roster and conflicts
Your guides have their own calendars. System knows who's booked, who's trained for which trip type, and who can't take back-to-back hunts. Rescheduling picks available guides automatically.
Weather-aware blocking
You set wind/visibility thresholds. Trips on dates hitting those thresholds flag for manual review or automatic offer of alternative windows. Clients see "weather reschedule available" before they call.
Flat monthly retainer
No per-booking fee, no rev-share. You run 8 trips or 80 trips a month, the fee stays the same. If you grow to multi-location or add a guiding school, we scope it once — no SaaS upsell surprise.
Waiver and photo release
Clients sign directly in the booking flow (or at check-in on mobile). No e-signature vendor, no extra steps. Photo release and liability waivers go straight to your CRM and email.
Ready to talk through your season?
Let's walk through your draw calendar, your tag windows, your guide roster, and what actually breaks with a one-size-fits-all platform. We'll scope a custom booking system for the trips you run, not the trips a national SaaS guessed you'd run.
Request System Scope →How we price it
Your outfitter booking system starts at $350/month—Custom Portal tier with guide management and rescheduling built in. Multi-location outfitters and advanced integrations may land in Full Operations App ($750+/mo). See pricing details and subscribe or scope a custom build below.
